Example of Organizational Assessment Summary

Arts/Boston created its organizational technology plan as a participant in NYFA's "Knowledge in Technology" (KIT) program between September, 1999 - March, 2000. As the first step, Arts/Boston assembled a technology team consisting of staff and board members. They began the process with an assessment using tools (rubric, and organizational assessment) provided through the KIT Program. The results of the assessment allowed the technology team to pinpoint some significant weaknesses as well as triage issues.

Overview of Technology Issues

* The need for an adequate budget to implement technology plan or funding strategy to secure needed funding.

* On average, staff spends between 40-60 minutes per day waiting for computers to reboot, trouble-shooting glitches, and recovering lost information from crashes.

* The need for a formal staff development plan and training in office software programs, network administration, and Web development.

* The need to formalize a staff position with responsibility for the organization's technology, including the Web site.

* The need to upgrade the local area network to accommodate high-speed Internet access from every desktop and communication between the main and two remote box offices.

* The need to integrate via Arts/Boston's Web site the delivery of services such as its ticket catalogue, online transactions, and audience interaction.

* The need for a fully integrated and automated database/information system for ticket fulfillment, customer contact information, and financial information.

* The need for a coherent and ongoing upgrade strategy versus adding donated, obsolete hardware on a random basis.

* The need for a mechanism to prevent data loss and virus protection.
